About the Recital Hall
Bright, intimate recital hall and multi-use space with flexible seating up to 58 seats located inside Meridian Music School in Carmel, Indiana. Small green room for up to 6 people with direct access to restrooms and lobby. Ideal for small music recitals, meetings, birthday parties, presentations, small plays, and similar events.

- The renter is financially responsible for all damage, loss, or excessive cleaning caused by renters, performers, vendors, guests, or contractors.

- Charges will be billed to the renter within 14 days of the event.

1. Booking & Access Policies
Rental Time Includes All Event Activity

The contracted rental time must include all activities associated with the event, including but not limited to:
- Load-in and load-out
- Stage setup and strike
- Technical setup, programming, sound check, and rehearsal
- House setup including seating, lobby preparation, and front-of-house preparation
- Decorating and event styling
- Vendor setup and breakdown

This requirement applies to all individuals and organizations involved with the event, including:
- The renter
- Ji-Eun Lee Music Academy staff or volunteers assisting with the event
- Performers and participants
- Third-party vendors, contractors, decorators, or hired production personnel
- If someone is in the facility working on your event, your rental time is considered in use.
Facility Access Rules
DO
- Rent the space for the entire time you occupy the facility.
- Provide a final event schedule at least ___ days prior to the event.
- Designate a responsible adult representative present during the entire rental.
DO NOT
- Do not enter the facility prior to your contracted start time.
- Do not assume setup or cleanup time is complimentary.
- Do not remain in the facility after your contracted end time.
2. Overtime & Late Exit Policies
DO
- Plan your event to end early enough to allow for cleanup and exit.
- Notify venue staff immediately if you anticipate running late.
DO NOT
- Do not exceed your contracted rental time.
Overtime Charges
- Any use beyond the contracted end time will be billed as overtime.
- Overtime is billed in ___ minute increments (commonly 30 or 60 minutes).
- Overtime is billed at ___ (commonly 1.5Γβ2Γ) the standard rental rate.
- Venue staff may stop an event that exceeds scheduled time.
3. Staffing & Supervision
DO
- Follow staffing requirements determined by venue management.
- Work with assigned venue staff for technical and house operations.
DO NOT
- Do not operate venue technical systems without authorization.
- Do not dismiss or reassign required venue staff.
4. Technical & Equipment Use
DO
- Submit technical requirements by the designated deadline.
- Use only approved venue equipment.
- Provide your own media devices, adapters, and specialty equipment unless arranged in advance.
DO NOT
- Do not modify venue equipment.
- Do not disconnect or relocate technical gear.
- Do not use fog, haze, pyrotechnics, confetti, glitter, or open flame without written approval.
5. Space Use & Care
DO
- Leave the space in the condition it was received.
- Remove decorations and personal belongings.
- Dispose of trash in designated containers.
DO NOT
- Do not move pianos, risers, staging, or seating without approval.
- Do not tape, staple, nail, or attach items to facility surfaces.
- Do not block exits, aisles, or safety equipment.
- Do not bring animals other than trained service animals.
6. Audience & Front-of-House Policies
DO
- Follow venue occupancy limits.
- Begin and end performances on time.
- Ensure proper supervision of minors.
DO NOT
- Do not exceed seating capacity.
- Do not allow audience members backstage or in restricted areas.
- Do not allow standing room without approval.
7. Food, Beverage & Alcohol
DO
- Obtain approval for all food and beverage service.
- Use licensed and insured vendors if required.
- Clean all food service areas before exit.
DO NOT
- Do not bring food or beverages into performance areas unless approved.
- Do not serve alcohol without proper permits and venue approval.
- Do not use candles or open flame.
8. Noise, Conduct & Community Impact
DO
- Maintain professional conduct.
- Follow approved sound and event time limits.
DO NOT
- Do not allow disruptive or unsafe behavior.
- Do not create excessive noise outside the facility.
- Do not allow loitering after the event.
9. Damage, Liability & Insurance
DO
- Accept responsibility for renter and guest damages.
- Provide insurance documentation if required.
- Report damages immediately.
DO NOT
- Do not attempt to repair facility property.
10. Cancellations & Changes
DO
- Submit changes in writing.
- Follow cancellation deadlines.
DO NOT
- Do not assume refunds for unused time.
- Do not change event type without approval.
11. Enforcement & Authority
Venue management reserves the right to:
- Stop unsafe activities
- End events exceeding scheduled time
- Deny future rentals for violations

- Your rental time includes setup, rehearsal, event, cleanup, and exit.
- No early entry.
- You must be fully out by your scheduled end time.
- Overtime fees apply if you go late.

Purpose of Venue Staff
Venue staff are present to:
- Maintain safety standards
- Operate venue equipment
- Protect facility property
- Coordinate facility logistics
Venue staff are not personal event assistants unless contracted separately.
Included Staff Responsibilities
Venue staff may:
- Open and close the facility
- Operate house lighting and sound systems
- Ensure safety compliance
- Provide basic technical oversight
- Assist with venue-owned equipment setup
Not Included Without Additional Contract
Venue staff are not responsible for:
- Decorating or event styling
- Moving renter equipment or instruments
- Stage managing renter productions
- Running rehearsals
- Serving food or managing catering
- Providing ushering unless contracted
- Cleaning renter decorations or materials
Additional Labor
Additional labor may be available for hire and must be:
- Scheduled in advance
- Approved by venue management
- Paid according to current labor rates
Staff Authority
Venue staff have final authority regarding:
- Safety compliance
- Equipment use
- Time enforcement
- Facility rules
Failure to follow staff direction may result in event termination.
Vendor Approval
- All third-party vendors must be disclosed to the venue at least ___ days prior to the event.
- The venue reserves the right to approve or deny vendors based on safety and facility requirements.
Vendor Insurance Requirements
Vendors may be required to provide:
- Certificate of Insurance
- Liability coverage of at least $1,000,000 per occurrence
- Listing the venue as additionally insured
Vendor Time & Access Rules
- Vendors must operate only during the renterβs contracted rental time.
- Vendors are subject to all facility rules.
- Vendors may not arrive early or remain late unless the renter has scheduled and paid for additional time.

Installation & Removal
- All decorations must be removed before the end of the rental period.
- Decorations left behind may be discarded and billed as cleanup labor.
Electrical & Safety Requirements
- Vendors must use approved electrical equipment.
- Extension cords must be taped or secured safely.
- Fire exits, aisles, and emergency equipment must remain unobstructed.
Vendor Conduct
Vendors must:
- Follow venue staff instructions
- Maintain professional behavior
- Avoid excessive noise during setup
Failure to comply may result in vendor removal from the facility.
